The checkout form

The TradeCheck Business details form is the block buyers fill in with their business details. You set it up on the app's Settings page, in Steps 1 and 2. Changes show the Shopify save bar, and nothing goes live until you press Save. The What buyers see preview beside the settings updates as you change them. Who sees the form Step 1, Choose who sees the form, picks one group of buyers. Everyone else checks out as normal. | Option | Who sees the form | | ---------------- | --------------------------------------------------------------------------------- | | Everyone | Every buyer. This is the default. | | B2B customers | Logged-in customers who can buy for at least one company location in Shopify B2B | | Tagged customers | Logged-in customers with one of the tags you enter | | Larger orders | Orders with a subtotal at or above the amount you enter | - B2B customers: set up companies and add customers to them in Customers › Companies. - Tagged customers: separate tags with commas, up to 100 tags. Capital letters don't matter. Add a tag to a customer under Tags on the customer's page. Buyers must be logged in for tags to match. - Larger orders: the subtotal is the cart total before shipping and tax. If checkout can't read the subtotal, TradeCheck shows the form anyway. - Guests never see the form under the B2B customers or Tagged customers options. Fields Step 2, Choose the details to ask for, sets each field to Off, Optional or Required. | Field | Default | What the buyer enters | | ------------- | -------- | ------------------------------------------------------- | | ABN | Optional | 11-digit Australian Business Number | | Business name | Optional | Name of the business placing the order | | PO number | Optional | The buyer's purchase order number, up to 50 characters | | PO document | Off | The purchase order file: PDF, JPG or PNG, up to 10 MB | | Cost centre | Optional | Team, site or project paying for the order | | Approver | Off | Email of the person who approved the purchase | - Optional fields show "(optional)" after the label. - After the ABR finds an ABN, the form fills in the business name with the registered name, unless the buyer already typed one. - For B2B buyers, the approver field suggests contacts from the buyer's own company. Buyers can still type any email. - If every field is Off, the settings page warns Buyers won't see the form. - When a field is required by the checkout rule in Step 3, it shows Required by Step 3 and can't be changed until you change the rule. Where buyers fill it in On Shopify Plus, the form can sit inside checkout. Buyers can change the fields until they pay. On other plans, the form sits on the Thank you and Order status pages, and buyers press Save details to add the details to their order. Buyers who skip the Thank you page can add their details later from the Order status page. Required fields: on the Thank you and Order status pages, the buyer can't save until every required field is filled in. Inside Plus checkout, required fields don't stop the buyer paying. Only the checkout rule can stop payment, and only for a PO number or an ABN. See Checkout rules. Guests and logged-in buyers TradeCheck saves details on the order, so guest buyers are covered. A guest can add details on the Thank you or Order status page for up to 2 hours after placing the order. When a logged-in buyer's ABN is verified, TradeCheck saves it to their customer record. Next time, the form fills in that ABN and the registered business name. It doesn't fill in the ABN if your store now blocks it. Changing details after saving Buyers can't change details once they're on the order. The Thank you and Order status pages show a summary with "To change these details, contact the store." Staff can change details from the order page. See Order details in the Shopify admin.

ABN checks and risk flags

TradeCheck checks every ABN a buyer enters, and adds risk flags to the order when something doesn't look right. This article covers what TradeCheck checks, where the ABN data comes from, and what each flag means. What TradeCheck checks TradeCheck runs three checks, in this order: 1. The number itself. An ABN has 11 digits and a built-in checksum. A number that fails the checksum can't be a real ABN. 2. Your blocked list. TradeCheck checks the ABN against your store's blocked ABNs before it looks the ABN up, so blocking works even when the ABR is down. 3. The Australian Business Register. TradeCheck looks the ABN up in the ABR's ABN Lookup service, the official public record of Australian businesses. It records the registered name, entity type, ABN status (Active or Cancelled), GST registration and state. TradeCheck keeps an ABR result for 24 hours, so the same ABN entered twice in a day uses the first result. Re-verify now on the order page skips the saved result and looks the ABN up again. Risk flags Flags show on the order page, never to buyers. Flags are advisory: they never stop an order on their own. | Flag | When TradeCheck adds it | Colour | | ------------------------------------- | ------------------------------------------------------------------ | ------ | | ABN fails checksum | The number can't be a real ABN | Red | | ABN not found on ABR | The ABR has no record of the ABN | Red | | ABN cancelled | The ABR lists the ABN as cancelled | Red | | ABN is on your blocked list | The ABN is on your blocked list, whichever block setting you use | Red | | Not registered for GST | The business has no current GST registration | Amber | | Business name differs from ABR | The name the buyer entered doesn't match the ABR names | Amber | | ABR state differs from order address | The ABR state matches neither the billing nor the shipping state | Amber | | ABN registered in the last 30 days | The ABN became active less than 30 days ago | Amber | | PO number missing | The PO number field is required, but the order has none | Amber | Name matching: TradeCheck compares the entered name with the business's registered name and all its current business and trading names. It ignores capital letters, punctuation, and words like Pty, Ltd, Limited, The, Co, Company, Trust, Trustee and Trading. The names match when one contains the other's words, or when 80% or more of their words are the same. TradeCheck flags a trading name that isn't registered with the ABR. State check: TradeCheck skips the state check when the order has no billing or shipping state. What buyers see While the ABN is checked, the form shows "Checking the Australian Business Register…". When the ABR finds it, the form shows the registered name, the ABN, Active or Cancelled, and GST status. - Cancelled ABN: "This ABN is cancelled on the Australian Business Register. Remove it to enter another." The buyer can still carry on. - ABN not found: "We couldn't find this ABN on the Australian Business Register. Check the number." - ABR unavailable: "We couldn't check this ABN right now. You can still continue." TradeCheck saves the details without a check, and staff can press Re-verify now on the order later. Plus checkout orders When a buyer enters details inside Plus checkout, TradeCheck checks the ABN with the ABR the first time the order is opened in the Shopify admin, or when the buyer views the Thank you or Order status page. Using the details elsewhere TradeCheck saves the details and check results as order metafields: ABN, business name, PO number, cost centre, approver, ABN legal name, ABN status, GST registered, risk flags and verified time. Logged-in buyers also get customer metafields with their last verified ABN. You can use the metafields in packing slips, invoice templates and Shopify Flow.

Checkout rules (Shopify Plus)

The TradeCheck checkout rule stops buyers paying until they've entered a PO number, a valid ABN, or both. The rule only works on Shopify Plus, because only Plus stores can show the TradeCheck form inside checkout. Turning the rule on Turn the rule on in the app's Settings page, under Step 3: Block checkout until details are filled in. Tick one or both options, then press Save: - Require a PO number: buyers can't pay until they enter a purchase order number. - Require a valid ABN: buyers can't pay until they enter an ABN that's a valid number. The rule also appears in the Shopify admin under Settings › Checkout › Checkout rules, titled Require PO number or ABN. Changes made there show up in TradeCheck, and changes in TradeCheck show up there. Applying the rule to some customers Enter tags in Only for customers tagged to apply the rule only to customers with one of those tags, such as net-terms. Separate tags with commas. Leave the field blank to apply the rule to every buyer. When you add tags, guests are never blocked. What buyers see The rule checks the details when the buyer tries to pay. A buyer who's missing a detail sees: - "Enter a PO number to complete your order." - "Enter a valid ABN to complete your order." Limits of the rule - A valid ABN means a valid number. The rule checks the ABN's checksum, not the ABR. A cancelled ABN passes the rule, and the order gets the ABN cancelled flag. See ABN checks and risk flags. - Only the PO number and ABN can stop payment. Other required fields, such as the PO document or business name, don't stop a Plus buyer paying. - Stores not on Plus: TradeCheck warns Shopify Plus only in Step 3. On other plans, turning the rule on would block every order, because buyers can't enter details until after they pay. - Blocked ABNs: to stop a buyer paying with a blocked ABN, turn on Require a valid ABN as well. See Blocked ABNs.

Blocked ABNs

The Blocked ABNs page holds ABNs your store won't accept, such as a business that charged back an order. This article covers adding and removing ABNs, and what happens when a buyer enters one. When a buyer enters a blocked ABN Choose what happens under When a buyer enters a blocked ABN, then press Save: | Option | What the buyer sees | What happens to the order | | ----------------------------------------- | --------------------------------------- | ----------------------------------------------------- | | Turn the ABN away at checkout (default) | Your message, and must use another ABN | No details are saved | | Let the order through for you to review | Nothing | Tag TradeCheck: Blocked ABN and a medium risk level | Message buyers see: with Turn the ABN away at checkout, write the message buyers see, up to 300 characters. Leave it blank to use the default: "This ABN can't be used for orders with this store. Contact us if you think this is a mistake." Stopping payment: turning an ABN away removes it from the form, but a buyer inside Plus checkout can leave the ABN blank and carry on. Turn on Require a valid ABN in Settings › Step 3 to stop them paying without an ABN. See Checkout rules. Orders with a blocked ABN Any order saved with a blocked ABN gets the ABN is on your blocked list flag, whichever option you chose. This includes ABNs staff enter on the order page. The first time an order gets the flag, TradeCheck adds the order tag TradeCheck: Blocked ABN and a medium risk assessment that says the ABN is on your TradeCheck blocked list. Search for the tag in Orders to find these orders. If the order's ABN changes to one that isn't blocked, TradeCheck removes the tag. The risk assessment stays on the order, because Shopify doesn't let apps delete one. Logged-in buyers whose saved ABN is now blocked don't get it filled in at checkout. Adding ABNs To block one ABN, enter it under Block an ABN, add an optional note that only your staff see (up to 200 characters), and press Block ABN. TradeCheck checks the number is a valid ABN, but doesn't look it up on the ABR. To block a list, press Bulk add: - Upload a CSV or text file, or paste a list. - Put one ABN per line, with an optional note after a comma. Spaces in ABNs and a header row are fine. - Add up to 5,000 ABNs at a time. Split longer lists and add them in parts. - The preview shows how many ABNs are ready, which lines aren't valid ABNs, and how many repeats it skipped. ABNs already on the list are skipped. Finding, exporting and removing ABNs The Blocked list shows the newest ABNs first, 50 per page. Search by ABN or note. Export CSV downloads the whole list with ABN, Note and Added columns. You can upload the file again through Bulk add. To remove ABNs, press Remove on a row, or tick rows and press Remove selected. Remove on a single row removes the ABN straight away, with no confirmation. Checkout accepts removed ABNs again.
